Purpose of the
job: To
provide professional leadership and assistance
to the president and board of directors
in making the organization an effective,
viable organization; and to implement board policies and plans
toward the accomplishment of goals. To be responsible
for the entire operation of the organization.
Education and Experience: Requires minimum of a Bachelor’s Degree or equivalent experience,
preferably in public health/health care, human service, education,
psychology, social work, or social marketing. Other degrees will
be considered on an individual basis. Ideal candidate will have administrative
experience in program management, budgeting, grant writing, board
development, and public relations. Needs strong verbal and
written communication skills for work involving parents, youth, community
leaders and the media. Experience in youth development and/or
teen pregnancy prevention/STI prevention
is desirable.
Principal Responsibilities:
- Confers regularly with the President
of WCTPPC. Works as
a team with the WCTPPC President to implement
WCTPPC board policies and goals; works in coordination with Coalition
subcommittees/workgroups to develop board goals and long range
plans and in reviewing progress toward goals.
- Assists the President in planning
and preparing board agendas. Supplies
background information, such as definition
of alternatives and their implications, and offers objective
clarification of the issues.
- Attends board meetings, in non-voting
capacity. Develops
and submits reports on progress, major
problems, and reviews of Coalition work.
- Works with each board committee, facilitating coordination of
Coalition work as related to committees in order to avoid overlap
or gaps in progress toward accomplishment of goals.
- Coordinates the development of plans and budgets for the finance
committee; operates within the approved budget.
- Works closely with president and board of directors to seek advice
and guidance to implement national recommendations/best practices
as relevant to the Coalition and the community the Coalition serves.
- Researches and applies for grants to support the goals of the
Coalition.
Represents the organization
and acts as a liaison: Initiates and cooperates with
inter-agency collaborative efforts to serve the Coalition
and to serve as an advocate for youth in the community. Attends and
participates in community meetings as appropriate.
Maintains contacts with other community groups/
businesses and stimulates interest in the work of the Coalition.
Essential Functions/Typical Tasks:
Planning
- Assists the board in organizational planning
- Provides input and recommendations for development of long term
goals
- Assists Board in the formulation of annual objectives
- Prepares reports on achievement of goals
and objectives
Program And Services
- Represents the Coalition Board at community
activities which promote and deliver programs/services
consistent with the WCTPPC mission/goals
- Offers assistance and guidance to
Coalition committees/workgroups to achieve the delivery of activities
that support the Coalition’s
mission, values and goals
- Facilitates the involvement/support of
Coalition stakeholders in Coalition activities/goals
- Maintains program records and prepares reports
- Coordinates the “Teens Have Choices” Jeopardy
activity
- Distributes Parent Tool Kits (PTK) as requested and assists PTK
committee as needed
Financial
- Prepares a preliminary budget for board
approval
- Researches and applies for grants to support the goals of the
Coalition
- Assists fiscal agent with the preparation of fiscal reports/invoices,
etc.
- Provides support to the finance and fundraising committees
- Purchases products and services necessary for the operation of
the organization and delivery of programs
- Ensures that expenditures are within budget
Community
And Public Relations
- Communicates
the Coalition’s mission,
vision and values to the community
- Chairs the media advisory committee and stimulates news/publicity
opportunities
- Participates in activities which link the Coalition with other
organizations
- Represents the Coalition in stimulating new initiatives in the
community which impact teen sexual health
Facilities
Management
- Acts as liaison to the landlord
- Responds to email, mail and telephone requests
- Coordinates the maintenance and updates of the Coalition website
as needed
- Maintains the appearance of the office
Committee
Responsibilities
- Chairs the media advisory committee
- Assists the work group chairs of the following Coalition Committee/Workgroups:
Information and Resources Subcommittee, School Based Initiatives,
Faith Based Initiatives, Parent Tool Kits, Coalition Office Support
Committee, Business Based Initiatives, Health Initiatives, Ad and
Film Contest, Teen Advisory Group, etc.
Board Activities
- Drafts Coalition Board Meeting Agenda
for Board President or Executive Committee
review
- Sends Board Meeting Notices which
include the agenda, previous meeting minutes, and director’s
report at least one week prior to Coalition Board Meeting
- Prepares materials and proposals for board and committees
- Implements Coalition Board Meeting directives in a timely manner
Special Requirements: The
Executive Director works flexible hours
to meet Coalition responsibilities. Must be able to provide own
transportation to community appointments and meetings as needed
within Washington County. Primarily
work is sedentary with some minimal light
lifting of materials. Must
have sufficient computer skills to develop
documents, ability to complete research
on the Internet, and be able to respond to email. |
